Please take a moment to read the following Personal Information Collection Statement.
1. From time to time it is necessary UPC members, guests of UPC members, the UPC executive committee members to supply the University Parents Community (UPC), with certain personal data for various purposes including but not limited to:
a. UPC administration and operations;
b. Statistical and research purposes and other UPC-related purposes.
2. Personal data of UPC members, UPC staff members, children of UPC members, guests of UPC members and their children will be handled by relevant staff and UPC Executive Committee members and will be kept confidential.
3. The UPC may also disclose data to third parties such as agencies (including the Hong Kong government), service providers and contractors (whether within or outside Hong Kong) appointed by the UPC to undertake UPC activities. The UPC may use personal data (such as name and contact details) to send communications that are relevant to members and their guests, including but not limited to newsletters, programs, courses, seminars, lectures, conferences, events, and extra- curricular activities, events and clubs of the UPC or selected third party service providers. An opportunity will be provided for data subjects to opt-in or opt-out of receiving materials from the UPC which may have a direct marketing component.
4. Apart from the parties and activities listed above, the UPC will not disclose any personal data to external bodies or organizations unless:
a. Such disclosure is expressly provided for under this Statement;
b. Permitted to do so by the UPC member or the UPC memberˇ¦s guest;
c. And/or permitted or required by law.
5. Personal data may be stored in the UPC database systems and online portals and any such personal data provided will form part of UPC members, UPC membersˇ¦ guests, staff members or children of UPC membersˇ¦ official records (as relevant) at the UPC.
6. The UPC will use data collected or received to conduct UPC activities.
7. The UPC may place UPC memberˇ¦s photo and/or name in UPC website or publications.
8. In the event where a UPC member child already has a sibling, the UPC records of such sibling may be updated according to the data provided by another sibling.
9. Failure to provide the data requested may result in the UPC being unable to proceed with the purpose for which such data was requested.
10. Data subjects may submit a signed, written request to the UPC office to access or to correct personal data held by UPC. The UPC shall respond to the request within 30 days.
